Summary/objective:
As a Theatrical Project Coordinator, you play a central role in coordinating various aspects of projects, with a focus on distribution processes.
Your responsibilities span from project inception to successful completion, encompassing project management, relationship nurturing, logistics coordination, and communication facilitation.
Your meticulous attention to detail and project management skills are vital in ensuring seamless execution and fostering strong partnershipsEssential functions Provide end-to-end project management and relationship nurturing.
Assist with data entry and logistics related to all distribution phases Help coordinate theatrical buyouts and secure digital screenings for partners Coordinate travel arrangements as needed with other team members.
Draft, review and send communications on behalf of leadership.
Maintain various records and documents for leadership.
Maintain reliable and stable schedules.
Responsible for working with leadership defining project goals and scope, establishing schedules, monitoring progress and performance, and implementing necessary changes to ensure project success.
Coordinate with other project managers and administrative staff.
Serve as the primary point of contact for exhibition partners.
Oversee project requirements and manage timeline and project budget.
Manage a detailed project plan and monitor progress.
Manage project calendars, booking meetings as required.
Collaborate with internal teams and external service providers to design, develop, and implement projects.
Deliver projects on time.
Develop, implement, and manage key organizational systems critical to project efficiency and efficacy with ongoing systems audits.
Develop and manage critical workflows.
Highlight areas of friction or redundancy and act proactively to resolve issues.
Clearly communicate critical information (both in writing and verbally) to partners and from partners to the team.
Regularly update key stakeholders on project status.
Oversee the project's financial budget, notifying stakeholders of key cost implications, changes to budget, spending, and cost changes.
Form strong relationships with stakeholder/partners and developing communication channels between the relevant parties Identifying and implementing creative ways to further our partner relationships.
Track the project deliverables and matching those with agreed deadlines Keep track of budget milestones.
Take meeting notes and assign action items.
Must attend and contribute to regularly scheduled staff meetings.
Proficiency in speaking, reading and writing in the English language required.
Additional language proficiency is a plus.

Excellent creative writing skills.
Ability to pull together data from these channels on organic reach, audience demographics and post performance.
Capable of managing workload and prioritizing tasks in a fast-paced corporate environment.
An exceptional listener with excellent written and verbal communication skills.
Proficiency with Microsoft Office and Google Workspace.
Detail-oriented perspective and able to pick up on overlooked details.
Organization and time management.
Able to maintain confidentiality of information.
Must be able to manage multiple assignments, set priorities, and adapt to changing conditions.
Resourceful and able to problem-solve and manage tasks with ambiguity.
Willing to perform an array of tasks both in and out of the office.
Can take feedback to tasks and assignments positively and create better solutions.
A quick study, able to pick up new skills and learn how to use new programs.
Must participate in setting and achieving regularly scheduled and outlined objectives.
Ability to take individual ownership, execute with high energy, share context, insist on candor with positive intent.
>Required education and experience Bachelor's degree in a relevant field or equivalent.
2 years experience coordinating and managing projects.
Preferred education and experience Master's Degree.
Marketing, Film or theatrical project background.
Experience with project coordination in the creative content and marketing industry.
>$45,000 - $57,000 a yearCommensurate with experience and scope of responsibilities.
