Administrative Assistant

SUMMARY: The Administrative Assistant provides professional executive administrative support to the CEO and other senior management members as appropriate with thoroughness, self-direction, and accuracy. The Administrative Assistant organizes, prioritizes, and carries out assignments, tasks, and projects with minimal supervision. The Administrative Assistant applies independent judgment to plan, prioritize, and organize diverse workloads in the hospital practices and procedures. The Administrative Assistant maintains a high level of confidentiality in all areas of responsibility.
Provides administrative support for the CEO and other senior management members -Frequently reviews executive email to monitor status of obligations
Screens and evaluates incoming and outgoing correspondence and prepares responses as appropriate
Opens, reviews, sorts, and prioritizes mail directed to the CEO and prepares responses to routine inquiries
Coordinates, schedules, and prioritizes appointments, meetings and hospital related obligations and communicates to appropriate staff members.
Compiles, coordinates, and maintains an orderly system for meeting materials as needed by CEO and other senior management members, including agenda and document attachments.
Organizes materials for executives and provides frequent briefing/communication to CEO and other senior management members.
Performs secretarial support for assigned hospital committees and/or executive meetings.
Attends assigned committee meetings.
Coordinates meeting arrangements including room reservations, equipment, and food and refreshment arrangements as requested.
Coordinates agenda items. Prepares and distributes meeting materials
Records, transcribes and distributes minutes, ensuring that master files are maintained
Initial point of contact for administration
Oversees and coordinates the daily administrative activities
Develops procedures and systems, which ensures productive and efficient office operations
Organizes and produces reports, forms, minutes, and memoranda of highly confidential, specialized and recurrent nature.
Coordinates travel arrangements researching and selecting the most cost efficient and productive travel arrangements utilizing various methods to research and schedule including the internet.

Two (2) years experience as an administrative assistant at executive level or executive secretarial level in a hospital administrative environment preferred.
Must have high level of interpersonal skills and ability to work on issues of a sensitive nature.
Strong organization skills
Detail Oriented
Strong oral and written communication skills
Ability to read and comprehend English at a level necessary to follow written and oral instructions and safety precautions.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
